1. Organizer and seller

These Terms and Conditions govern the purchase of tickets for participation in the “WLCG/HSF Workshop 2026” (the “Event” or “Workshop”) through this website.
The organizer of the Event and seller of the tickets is Coopit (“Organiser”, “We”, “Us”), with registered office in Via Cartoleria 46 – 40124 Bologna, tax code and VAT number IT02089000372, contact e‑mail: info@coopit.org, as indicated on the Coopit institutional website.

2. Subject of the contract

By placing an order, the customer (“Participant”, “Customer”, “You”) requests to purchase one or more tickets granting access to the Event on the dates, venue and conditions specified on the Event product page and during the checkout process.
The contract is concluded remotely between Coopit, acting as a professional, and the Participant, who may act as consumer or professional depending on their status under applicable law.

3. Event details

The WLCG/HSF Workshop 2026 will take place in Bologna (Italy) from 2 to 6 November 2026, according to the programme and timetable published on the official Event page and/or in the documentation made available to Participants.
The Organiser reserves the right to make minor changes to the programme (including, but not limited to, schedule adjustments, replacement of speakers, re‑ordering of sessions), without altering the overall nature of the Event.

4. Prices and invoicing

Ticket prices are indicated on the Event page in euro (EUR) and include VAT, where applicable, unless expressly stated otherwise.
If you require an invoice, you must provide complete and correct billing details at the time of purchase; otherwise, the Organiser may not be able to issue an invoice after the order has been completed.

5. Purchase process and conclusion of the contract

To purchase a ticket, the Customer selects the desired ticket, fills in the required data and completes the payment by using one of the payment methods available at checkout.
The contract is deemed concluded when the payment is successfully authorised and the Customer receives an order confirmation e‑mail with a summary of the purchase.

6. Payment methods

Payments are processed through the electronic payment systems indicated at checkout (such as credit/debit card or other electronic means).
The payment service provider may carry out security checks and refuse the transaction; in such a case, the order will not be completed and no ticket will be issued.

7. Ticket / access credentials

Once payment has been completed, the Customer will receive by e‑mail a confirmation of registration and, where applicable, a ticket, QR code and/or instructions on how to access and register onsite at the Event.
Unless otherwise specified, each ticket is personal. Any ticket holder must be able to prove their identity on request. Name changes, where allowed, are subject to the Organiser’s prior approval and to any applicable administrative procedures or deadlines communicated by the Organiser.

8. Participant obligations and conduct

Participants must:

  • keep the confirmation e‑mail and any access credentials or codes
  • attend the Event on the dates and at the times communicated in the official Event information
  • comply with the rules of the venue hosting the Event, as well as any security, health and safety measures in force; and
  • follow the instructions of the Organiser’s staff and venue staff.

The Organiser may refuse entry or require a Participant to leave the Event if their behaviour endangers safety, disrupts the Event or fails to comply with the applicable rules and instructions, without any right to a refund of the ticket price.

9. No right of withdrawal (cooling‑off period)

Under European and Italian consumer law, there is no statutory right of withdrawal (“right to reconsider”) for leisure services with a specific date or period of performance, such as cultural, entertainment or conference events for which tickets are purchased for a fixed date.
The purchase of tickets for the WLCG/HSF Workshop 2026 falls within this category, since the Event takes place on fixed dates (2–6 November 2026 in Bologna). Therefore, once the purchase has been completed, the Customer is not entitled to withdraw from the contract free of charge within 14 days simply because they have changed their mind.

This does not affect any rights the Customer may have in the event of cancellation or substantial modification of the Event by the Organiser, as described below.

10. Cancellation, postponement or modification of the Event by the Organiser

In the event of full cancellation of the Event for reasons attributable to the Organiser and where no alternative dates are offered, the Customer will be entitled to a refund of the ticket price, in accordance with the “Cancellation and refund policy” section published by the Organiser.
In the event of postponement or change of dates due to force majeure, safety reasons, decisions by public authorities or other organisational reasons, the Organiser will inform Participants via e‑mail and/or by publishing a notice on the Event website.

In such cases, the ticket may:

  • remain valid for the new dates, or
  • be refunded, in whole or in part, according to the procedures and timelines indicated by the Organiser for the specific case.

The Organiser is not liable for any additional costs incurred by Participants (such as travel, accommodation, visas or other services), which remain the sole responsibility of the Participant, unless mandatory legal provisions provide otherwise.

11. Participant’s inability to attend

Should a Participant be unable to attend the Event for reasons not attributable to the Organiser (including, but not limited to, illness, problems with travel or accommodation, refusal of visa or other personal circumstances), no refund of the ticket price will be due, unless otherwise explicitly provided in the Event’s specific cancellation policy or agreed in writing with the Organiser.

12. Liability

The Organiser shall be liable in case of non‑performance or improper performance of the contract in accordance with the applicable law, to the extent that such non‑performance or improper performance is directly attributable to the Organiser.
Except in cases of wilful misconduct or gross negligence, any liability of the Organiser for indirect or consequential damages (including, but not limited to, loss of profit, loss of opportunities, and costs of travel or accommodation) is excluded.

13. Data protection

Personal data provided by the Customer during the purchase process will be processed by Coopit, as data controller, for purposes connected with the management of the order, access to the Event, related administrative tasks and compliance with legal obligations.
For further details on how personal data are processed, Customers are invited to read the Privacy Notice made available on the Coopit website and/or the Event page.

14. Applicable law and jurisdiction

These Terms and Conditions are governed by Italian law, without prejudice to any mandatory consumer protection provisions that may apply based on the Customer’s country of residence.
Where the Customer acts as a consumer, any disputes arising out of or in connection with this contract shall be submitted to the courts of the place where the consumer is domiciled or resident, in accordance with applicable law; in all other cases, the courts of Bologna, Italy, shall have exclusive jurisdiction.

15. Acceptance of the Terms and Conditions

By completing the purchase process and selecting the checkbox “I accept the Terms and Conditions”, the Customer confirms that they have read, understood and fully accepted these Terms and Conditions, which form an integral and essential part of the ticket purchase contract.
